From tasks to evidence: NEET-TO-MEDIA’s approach to digital project management

NEET-TO-MEDIA is putting a structured approach to cross-border project management into practice. The Jõelähtme and Valmiera teams use Trello, an online project management tool, alongside a shared project data room to connect everyday tasks with the documents and evidence needed for reporting and methodology development.

The shared Trello board provides a visual overview of the project, organising activities and deliverables into cards with deadlines, responsibilities and checklists. These help both partners understand what needs to happen, who is involved and what each task must produce. Separate lists cover the project’s three implementation periods, while a dedicated discussion area brings upcoming priorities into focus.

A central feature is the distinction between completing an activity and documenting its results. Under the agreed workflow, completed tasks move to “Review / Evidence” before entering the archive. This keeps supporting evidence visible as part of implementation, rather than leaving its collection until reporting deadlines approach.

The shared data room provides the documentation behind the board. It brings together project documents, meeting records, procurement materials, training resources, feedback and reporting evidence. Relevant Trello cards link to folders and documents, helping the teams avoid duplicate uploads and keep working materials organised.

The approach also supports the project’s future methodology manual. By collecting practical experience and supporting materials throughout implementation, the partners are building a knowledge base that the external methodologist can draw on.

Together, the two tools create a clear connection between planning, delivery and evidence. For NEET-TO-MEDIA, this is a practical way to support cooperation across borders while keeping attention on the project’s main purpose: helping young people develop media skills and explore pathways towards employment.
